MINUTES HUG MEETING 8TH SEPTEMBER

MATTERS ARISING

The question was raised as to whether a NOTAM had been issued for itinerants regarding the re-designation of the runways until the new AIP was issued. (Since the meeting Kerry has checked the NOTAM’s and none have been issued).

Phil Patterson contacted Tony Laing regarding setting up a meeting to discuss mowing procedures and Tony informed him that if anyone had a problem to contact him directly. It was discussed further that there was still a need for procedures to be put in place for the mowing of the aerodrome.

It was recommended that the user’s write some procedures and pass them onto Tony Heywood for consideration. (Kerry is to e-mail everyone with some procedures that all user’s can contribute to, make adjustments etc before being submitted to Tony Heywood.)

Bill Dittmer had found documentation which supported his view of the number of Motorplex events increasing year by year.

As yet there had been no feedback from Council regarding Phil’s letter sent to them.

Bill asked where the water was coming from that Phil referred to in his letter. (Phil replied saying from SVAS rain water supply tank). Bill was happy to provide water from his well for progress BUT not long term.

MINUTES HUG/MOTORPLEX, TONY HEYWOOD MEETING 24th SEPTEMBER 2008

MATTERS ARISING

Alan raised the issue that people jumping the fence at the motor cross track was an issue for Motorplex security to address.

An e-mail is to be sent to Tony Heywood addressing a few issues, also reiterating the use of light/flag signals for the November Motorplex meeting for NORDO operations.

There was strong feeling of taking some action as to building a case against the Motorplex holding events on the runway. (A folder is to be compiled containing the pros and cons of holding this event on the aerodrome. Anyone wishing to contribute to the case is to e-mail their thoughts to Kerry Conner at fly@ace-aviation.co.nz)

GENERAL BUSINESS

An e-mail is to be sent to Tony Heywood asking for replies / or progress on the following issues:-

o   The designation of a manoeuvring area to the north of runway 10/28

o   Cark park quotes

o   Ordering and placement of new aerodrome signs

o   Attending council/HUG meetings, information flow, council mailing list

o   Mowing procedures

o   Motorplex/Glider/Nordo operations/Safety zones/ light, flag signals

o   Providing information / using the website calendar of events page

o   Hanger applications

Kerry has seen a copy of the council’s mailing list which appears to be very outdated. The issue is to be raised with Tony Heywood, suggesting the HUG group could take over the role for them, as group has a very good and current mailing list which will be sent to all for checking and updating. Any updates, corrections, additions in the future should be e-mailed to Kerry Conner (Secretary, who will hold the master list)

SIGNAGE

Alan had a PDF file of available aerodrome signs. It was decided that 4 x BA be chosen for locating on the gate by the superbin, south road gate past the aero club, on the Manaia road access gate behind Ian Davies hanger and on the ATC fence. 3 x CA signs were chosen for locating on the fence by Craig Stobb’s hanger, Ace Aviation fence and between the Super Air hanger and the Vintage Aviator hanger. It was also suggested that we ask for two 20km per hour signs for locating on the gravel road behind the hangers to slow traffic down in this area.

EMERGENCY PLAN

Alan mentioned that Paul Walker, Civil Defence Officer for Council had been asked to write an emergency plan for the aerodrome. Kerry suggested that one plan be written for the aerodrome and every operator and every emergency service have a copy of this plan rather than everyone having individual plans.

If an emergency occurred on the aerodrome this plan would be used regardless of the people concerned and everyone would know what to do.

Phil is to collect all emergency plans available and compare them all and come up with the best. (There may be some tweaking required, but then have it adopted by council as “The Hood Aerodrome Emergency Plan” which everyone uses.)

Gene mentioned the Vintage Aviator is holding a three hour display by WWI aircraft on 15th November 2008. A flyer detailing how it will affect aerodrome users is to be sent via e-mail after the meeting.

WEBSITE

Alan outlined the layout of the website which is up and running and live. He is still pursuing Council funding to repay Gene for the initial outlay of the site. The idea of the site is that it is totally owned and administered by the HUG. If council do not front up with any money the offer for them to supply information for the site will be withdrawn.

Alan has priced bumper stickers for advertising the website from the Sign Factory at $180.00 for 1.2m x 1m. Other advertising options include signs for displaying the website at the two up-coming airshows, getting Clive Wilkinson to do an article for the Aviation News and erecting signs at the main gate to the aerodrome

Alan is still requiring additional information, items, pictures, articles etc for the site, if you require alterations to information on the site send an e-mail to Alan with the required changes.

A copy of the minutes will also be available on the website as are the newsletters.        

Phil is to write another newsletter and make it known that anyone is allowed to come along to the HUG meetings.

Trevor asked that all users ask those wanting to build hangars on the aerodrome to put in their application to the council, so there is a record of their interest.
